Productivity tools for customer support agents: canned replies, snippets and shortcuts
Updated on
Short answer: most of a support agent's typing is repeated: greetings, troubleshooting steps, links to help articles, refund wording, order numbers. Put that text into helpdesk macros or saved replies first. Use email templates for inbox-based support, a text expander for short phrases you type everywhere, and a clipboard history with pinned items for everything that moves between tools (order IDs, links, the reply you wrote an hour ago). Then personalize the first and last lines so replies don't feel canned.
1. Your helpdesk's own macros and saved replies
Every major helpdesk has a way to save and insert reusable replies, often with variables such as the customer's name:
- Zendesk: macros (they can also set fields, tags and status).
- Intercom: macros / saved replies.
- Freshdesk: canned responses.
- Help Scout: saved replies.
- Gorgias, HubSpot, Front and others have equivalents.
Why first: they're shared with your team, consistent, reportable, and can update the ticket at the same time. Tip: ask your team lead for a "macro audit" every quarter. Outdated macros cause more errors than no macros.
2. Email templates (inbox-based support)
If you answer from a shared mailbox:
- Gmail: turn on Templates (Settings > See all settings > Advanced), then insert them from the three-dot menu in a draft.
- Outlook: My Templates and Quick Parts store reusable text.
3. A text expander for phrases you type everywhere
Text expanders turn a short abbreviation into a full phrase in any app: helpdesk, chat, email, CRM, Slack.
- Built-in on Mac and iPhone: Text Replacements (System Settings > Keyboard > Text Replacements on Mac; Settings > General > Keyboard > Text Replacement on iPhone).
- Apps: espanso (free, open source, Windows and Mac), TextExpander (team sharing), Typinator, PhraseExpress.
Best for: sign-offs, short standard sentences, your name, the help center URL.
Tip: use a prefix you never type by accident, like ;thx or ;refund.
4. Clipboard history for everything that moves between tools
Support work is full of copy-paste between systems: order IDs from the admin panel, tracking numbers, error messages, a customer's email, the help article link, the paragraph you wrote for a similar ticket this morning. With a single clipboard, each copy erases the last.
- Windows: Windows + V shows your recent copies (turn it on the first time) and lets you pin items. It keeps 25 items and clears on restart, except pinned items (Microsoft Support).
- Mac: on macOS Tahoe and later, Command-Space, then Command-4 opens Spotlight's clipboard history. See how to see clipboard history on Mac.
- Clipboard managers: for longer history, search and organized pins. Ditto or CopyQ on Windows; Maccy, Paste or Raycast on Mac; Clipster on Windows, Mac and iPhone. In Clipster, you can create Pins such as "Refunds", "Shipping" or "Links" for the snippets you paste all day. Search finds anything you copied earlier in the week. Your copies sync between your devices with end-to-end encryption.
Important: check your company's policy before installing any clipboard tool. Support agents handle personal data, and some organizations restrict clipboard history or sync. Never keep customer passwords, payment data or ID documents in clipboard history.
5. A personal "reply library"
Even with macros, agents build their own collection of good answers. Keep it somewhere easy to find and paste from:
- a shared doc for the team;
- pinned items in a clipboard manager;
- a text expander group.
Organize by customer problem, not by product area: "Can't log in", "Where is my order", "Cancel subscription", "Bug report: what we need". That's how you'll think when a ticket arrives.
6. Keyboard shortcuts in your helpdesk
Most helpdesks have shortcuts to apply macros, change status and jump to the next ticket. Learning five of them saves more time than any new tool. Look for a "Keyboard shortcuts" panel (often opened with ?).
7. Screenshots and screen recordings
A 10-second video or an annotated screenshot often replaces three paragraphs of instructions.
- Windows: Windows + Shift + S (Snipping Tool, which can also record the screen).
- Mac: Command-Shift-5 for screenshots and screen recordings.
8. AI assistants, carefully
Many helpdesks now include AI drafting and summarization. Used well, they help with tone, translation and long-thread summaries. Follow your company's rules about what customer data can go into AI tools, and always read before sending.
How to keep canned replies from sounding canned
- Personalize the first line: acknowledge the exact problem in the customer's words.
- Cut the template, not the empathy: remove paragraphs that don't apply.
- End with one clear next step, not three options.
- Review your top 10 replies monthly, and rewrite the ones customers reply to with "that doesn't answer my question".
A simple setup for a new agent
- Learn your helpdesk's macros and five keyboard shortcuts.
- Turn on clipboard history (Windows + V or Spotlight on Mac).
- Create a few text replacements for your sign-off and standard phrases.
- Start a personal reply library, in pins or a doc, organized by customer problem.

FAQ
What's the difference between macros and canned responses?
Canned responses (saved replies) insert text. Macros in helpdesks such as Zendesk can also change the ticket: set status, tags or fields.
What can I use if my helpdesk has no saved replies?
A text expander or a clipboard manager with pinned items. Both work in any app, including chat and email.
Is it safe to use clipboard history in customer support?
It can be, but follow your company's policy. Avoid copying sensitive customer data, clear history regularly, and prefer tools with encryption.
How do I share saved replies with my team?
Use your helpdesk's shared macros, or a text expander that supports team sharing. Personal clipboard pins are best for individual snippets.
How many canned replies should I have?
Enough to cover your top 20–30 ticket types. Beyond that, a searchable library matters more than the count.
Disclosure: We make Clipster, which appears as one option in this guide. Start with the tools you already have: your helpdesk probably does more than you use.
